Terms of use
Short, because the service is simple: you give it bank statements, it gives you back figures and documents, and you remain in charge of them.
What the service is
Shoebox reads the bank statements, receipts and other records you upload, reconciles them to the bank, and prepares a treasurer's report for a club or group, or receipts and payments accounts and the related documents for a registered charity. It is a tool that prepares. It does not advise, examine, audit, approve or file.
What you are responsible for
- Being entitled to upload the documents and to use them for your organisation's accounts.
- Checking the figures. The app shows every figure, every tie to the bank and every line it could not place; the accounts are yours once you download them.
- Everything a charity's law requires: independent examination, trustee approval, and filing with the regulator on time. Shoebox does none of these for you and the deadlines are yours.
- Keeping your sign-in details to yourself. Anyone with them can see your organisation's documents.
What we are responsible for
- Reading your documents as accurately as the technology allows, and telling you plainly where it could not.
- Keeping your data as the privacy notice says, and deleting it when you ask.
- Fixing faults you report, usually the same day during the pilot.
Accuracy and liability
The reading of scanned and photographed documents is automated and can be wrong. Every figure is checked against the bank's own balances, and anything that does not reconcile is flagged rather than hidden, but you must review the result before you rely on it. We are not liable for a loss that comes from relying on figures you did not check, from a filing you made late, or from anything outside our control. Where liability cannot be excluded by law, it is limited to what you paid for the service in the twelve months before the claim, which during the pilot is nothing.
Payment
Clubs and groups pay nothing. Registered charities pay the published price for the year's pack once it is produced, and nothing to check the figures first. During the beta there is no charge for anyone, subject to fair use (your own club or charity's accounts), and a charity that joins during the beta keeps the charity tier free.
Ending it
You can delete your documents, an organisation, or your account at any time, and that is the end of it. We may withdraw the service with reasonable notice, and if we do we will give you time to download your pack first.
Law
These terms are governed by the law of Scotland, and the Scottish courts have jurisdiction, without taking away any protection the law gives you where you live.
